CAPITAL CONFERENCE HOUSING
After you are registered for the conference, your district housing contact person will receive a confirmation email with housing codes and other information. Hotel reservations will be taken on a first-come, first-served basis beginning on Sept. 17, at 9 a.m. EDT. To make reservations, use the link and unique housing code found in the district housing confirmation email.
The housing link will not be available on OSBA’s website. Housing reservations can only be made with your unique housing code to guarantee conference rates and must be made by Thursday, Oct. 17.
Each reservation requires a credit card number to hold reserved rooms. After reservations are made, you will receive an acknowledgment number. Please note that this is not the same as a hotel confirmation number. Hotels will email hotel confirmation numbers one week before the conference.

Housing policies
Modifying hotel reservations
Reservations may be modified until 5 p.m. on Wednesday, Nov. 6. Examples of modifications include:
- changing hotels,
- changing the names on the reservations,
- changing the dates of your stay.
These modifications can be completed without a $100 cancellation fee as long as the reservation is not canceled.
Canceling hotel reservations
If you cancel your reservation at any time, your credit card will be charged a $100 cancellation fee for each room canceled. After Nov. 6, you will need to contact the hotel directly for any new reservations, modifications or cancellations. Failure to cancel a reservation by 5 p.m. on Nov. 6, failure to check in on the scheduled arrival date or an early departure will result in a one-night’s room and tax charge by the hotel.
Shuttle service to specified hotels
OSBA offers free, continuous shuttle bus service to the convention center from hotels that are not connected to or near the convention center, as well as to the GCCC East parking lot.
Shuttle service is provided to the following hotels:
- Courtyard by Marriott-Downtown
- Doubletree Guest Suites
- Renaissance Hotel
- Residence Inn
Housing warning - Hotel poaching
When OSBA secures sleeping rooms at hotels for its conference, commonly referred to as room blocks, we research the properties to ensure attendees will be accommodated adequately. The room block is established to ensure that rooms meet OSBA’s standards and are offered at a discounted price.
OSBA has been informed that registrants often are contacted with offers for cut-rate housing. The intent is to convince you that the offer is made on our behalf, or that the soliciting company is associated with OSBA. This is not true. The exclusive service provider for OSBA Capital Conference housing is Passkey.
How it works
Room poaching is a practice carried out by third-party companies that act as travel agencies, wholesalers or destination management companies to solicit registrants for room reservations.
The poacher might inform registrants that the hotel room block is “sold out,” and that if you do not book with them immediately, you may not get a room. Additional deceptive tactics include distributing forms or promotional materials that appear to be issued by us.
Room poachers make it more difficult for us to meet our room block commitments and expose us to penalties and increased room rates for our events.
Room poachers often don’t deliver on promises to customers. When customers arrive, reservations are nonexistent or the hotels are not conveniently located. Sometimes the rooms have been cancelled and hefty cancellation fees have been placed on the customer’s credit card

Don’t be misled! If you are contacted by anyone asking if you would like to purchase Capital Conference housing, please get as much information as you can and pass it on to OSBA.
